Job Title:  Executive and Strategy Assistant
 
Job Objectives:
Responsible for strategically assisting the Chief Executive to interface with all working departments, collaboratively obtaining the information needed to indentify areas of action for driving successful business results within the company.

Key Responsibilities: 
 
I. Strategic
  • Lead the execution of tasks associated with the achievement of the business goals 
  • Strong focus on the economics and profitability of production or the services rendered
  • Employ and deploy projects within budget and deadlines
  • Ensures all Tasks related to Specializations and Functions are duely, regularly and comprehensively completed
  • Recommend for effective Project Management suitable standards and policies that will help to improve areas of expertise and the organization’s operations at large
  • Ensures compliance to all laid down policies of the company identifying where amendments and provisions are needed for enhancements
II. Operational
  • Prepare and Report businesses of projects, departments and other strategic projects and analyzing their status and forwarding same to the CEO very regularly, ensuring key issues are highlighted focusing on key value drivers and trend analysis, also including;
  • Prepare for the CEO oral and written reports on general (global & national) economic trends and competitors performance analysis
  • Conduct business research and develop financial models for areas the company has investments interest in
  • Monitor fundamental economic, industrial, and corporate developments through the analysis of information obtained from financial publications and services, investment banking firms, government agencies, trade publications, company sources, and personal interviews.
  • Provide valuable analysis and insightful review of the financial results; review of value driver and performance reports for forecasts plan
 
Assisting the CEO in;
  • Completing comprehensive performance analysis of specific parts of the business as directed
  • Providing and interpreting financial information on the group or subsidiary businesses
  • Analyzing competitors and market trends
  • Conducting reviews and evaluations for cost-reduction opportunities
  • Coordinating the CEO’s Office; business meetings, business developments, and project management, etc.
  • Develop & communicate a matrix for managing the CEO’s time & ensure his calendar & schedule is always aligned with this matrix.
  • Prepare the CEO for his meetings & monitor his action points/commitments for upcoming deadlines by following through on/communicating the necessary details.
  • Schedule & determine the nature/time of internal/external appointments; providing all necessary background materials and making travel plans where necessary 
  • Review & proffer advice on correspondences requiring the CEO’s signature
  • Dispatch treated/untreated correspondences internally/externally, as appropriate
 
Ensure the office of the CEO interfaces smoothly with internal/external stakeholders by carrying out the following:
  • Creating, managing, organizing & updating mailing lists for the office of the Executive Officer on MS Outlook
  • Managing & updating the CEO’s Portal on the intranet (when created), ensuring that information made available on the portal is constantly updated, well organized for easy access/retrieval & support effective knowledge management, amongst others
  • Planning, coordinating & managing all activities to do with company wide meetings, management meetings and retreats on behalf of the CEO 
  • Provide appropriate answers to enquiries from external parties/direct as appropriate.
  • Manage, update & maintain a confidential document management/filing system for the CEO’s office
  • Assist with the tracking and monitoring of the budget for the CEO’s Office.
 
III. Reporting and Analysis
  • Develop and Review commercial reports and present to the Management Team and Managing Director and when requested by the Board the following reports but not limited to;
  • Ad-hoc Research Reports
  • Strategic Meetings’ Communiques
  • Review and monitor business operating reports, ensuring effectiveness as to analyze the following;
  • Trend Tracking & Profitability Analysis
  • Profitability Analysis for Projects and Divisions

d. Knowledgeable in Forecasting, Needs Analysis and Planning
e. Demonstrates an understanding of business fundamentals and decision-making processes
f. Understands basic financial elements of the business and applies that understanding

h. Demonstrates value and ROI of recommendations and solutions to clients through the use of relevant facts and information
 
Qualifications and Experience
a. B.Sc/HND in related courses
b. Minimum of 6 years experience, with familiarity in Construction, Oil and Power Industries
c. Required Human Resources and/or Secretarial professional membership
