Vesta Healthcare Partners Nigeria Limited is recruiting for fulltime Business Manager.

Job Details

Job Purpose:
  • Lead the administrative and professional support services required to facilitate the business of Vesta Nigeria including preparation, presentation and defence the Vesta Nigeria office administration budget and sales forecasts; to meet with defined targets and revenue estimates
  • Develop, manage and expand the business processes and services of Vesta Nigeria; integrating with those of its associated company (Vesta UK), so that the firm’s professional, business and financial transactions are efficiently presented, accomplished and recorded
  • Responsible for ensuring the smooth running of the Vesta office through management of business systems, office equipment, physical facilities, human resources and purchasing for Vesta Nigeria in consonance with those of its associated company (Vesta UK)
  • Ensure the availability of accurate management accounting and financial information within established timeframes and reporting structures of Vesta Nigeria, including monthly management accounts, in consonance with stipulated accounting practices outlined by the company accountants 
  • Support Project Managers in establishing, developing and managing the planning, control and co-ordination of specific Vesta projects from inception to completion; ensuring projects are driven and achieved within a defined budget and programme, meet Vesta-specified standards of quality and performance and in instances contribute to post project usage
  • Provide a professional Business Development service including RFP monitoring/evaluation; proposal/tender preparation/submission; contract negotiation/set-up; client liaison and management; which meet Vesta quarterly/annual projections and satisfies client expectations in the public and/or private sectors in a timely, qualitative and cost effective manner
  • Work with the company accountants on tax matters and submissions required from for Vesta Nigeria by the Nigerian tax authorities in consonance with stipulated accounting practices defined by the company accountants and financial reporting standards
  • Work with the company accountants provide timely and accurate bookkeeping, payroll, tax and accounting input for Vesta Nigeria in consonance with stipulated accounting practices defined by the company accountants and financial reporting standards
  • Work closely with the Managing Partner and participate actively in the delivery of all contracts and client engagements

Key Tasks
Finance & Accounts
  • Prepare and issue invoices and purchase orders for fees, expenses and payments on behalf of Vesta Nigeria; and when invoices are paid, issue receipts on behalf of Vesta Nigeria
  • Maintain a central register of all debtors/creditors and ensure due payments are paid including a central database of all Vesta Engagements/Projects/Contracts to guarantee all fees (including professional fees and expenses) are collected in a timely fashion and all contract conditions are met
  • Prepare, liaise with and co-ordinate annual accounts files for external auditors and tax authorities and draft of statutory accounts
  • Prepare monthly management accounts including narrative report on budget variances
  • Provide regular cash flow and foreign exchange transaction information to assist Company plan payments in line with established policies and guidelines
  • Review and arrange regular provider payments: utilities including diesel, telecommunications including internet; security; business and premises licenses; insurance including assets, workmen’s’ compensation, professional indemnity, travel and events; staff pension payments
  • Work closely with the Managing Partner in any other assigned roles in order to deliver monthly, quarterly and annual financial objectives
  • Develop, implement and operate systems and procedures to ensure integrity of accounting information and safe custody of Vesta assets, including procedures to eliminate and detect fraud or theft of company assets

Office Administration & Corporate Affairs
  • Acting as the first point of contact for guests, visitors and general public getting in touch with Vesta; dealing with all callers to the Vesta office including clients, External Consultants and suppliers
  • Receiving, evaluating and dealing appropriately with all incoming correspondence (post and e-mails), ensuring all urgent enquiries are passed to the Managing Partner promptly. 
  • Drafting responses to all correspondence (for approval of the Managing Partner) which will include an element of autonomous decision-making based on Vesta normal practice
  • Exercise responsibility for the handling of enquiries and other information requests coming into Vesta Nigeria including answering all telephone enquiries in a timely, efficient and effective manner
  • Responsible for all aspects of the Vesta Nigeria local and overseas travel and accommodation arrangements; processing all claims for travel expenses incurred by Vesta staff; maintaining and monitoring financial records relating to this expenditure
  • Providing a confidential word-processing service, including production of letters, presentations and prepare presentations using Word, PowerPoint and Excel as and when required for the Managing Partner; composition of own correspondence; responsible for photocopying, scanning, faxing and efficient filing of all Vesta documents
  • Overseeing and managing the ordering of all supplies, stationery, office equipment, consumables, catering and provisions for Vesta Nigeria to ensure optimal performance of the office
  • Responsible for day-to-day management and all aspects of human resource management Vesta Nigeria junior and support members of staff, including performance management, annual appraisal and recruitment as necessary 
  • Work with the Company Secretary to prepare Annual returns, Company Secretarial filings and Board Meeting documents
  • Work closely with the Managing Partner, the Executive Director and other members of the Partners’ Council in any other assigned roles in order to deliver excellence for our clients, value for our shareholders and meet expectations of our staff

Engagement and Project Management
  • Researching, drafting and developing potential Project Proposals, Concept Papers or Training Programmes based on specific need requests from our clients or Vesta Partners
  • Provide a comprehensive Project Administration Service (PAS), including typing, photocopying, scanning, faxing and maintenance of confidential electronic and paper files, records, filing systems and contact lists; producing Project/Engagement Reports including typing, formatting, printing, photocopying and binding; providing accurate Project/Engagement Budgeting and Financial Controls including collation and monitoring and presentation of Time Sheets, Project expense management and monitoring; manage administrative aspects of Project/Engagement work including setting deadlines and collation and compiling information required for reports, preparation and production of reports, conducting library and internet based research and production of PowerPoint presentations
  • Planning and organising all Engagement/Project functions including booking of venues, renting of equipment, liaison with Vesta employees (internally), clients, suppliers, consultants and other invitees (externally) as appropriate; liaison with clients, External Consultants and suppliers on administrative issues; establish, strengthen and develop client relationships with a focus on delivering excellence 
  • Organising meetings and teleconferences for the Engagement/Project Team in conjunction with the Project Manager; attending and preparing meeting minutes, agendas and relevant paperwork and ensuring all paperwork is distributed in a timely fashion; ensure appropriate accommodation is organised for meetings
  • Arranging, co-ordinating and supervising correspondence, documentation, visas, travel, accommodation, investigations, clinician appointments, hospital in-patient & out-patient stays for patients from Nigeria coming to the UK for emergency or elective Specialist Medical Treatment
  • Arranging, co-ordinating and supervising correspondence, documentation, visas, travel, accommodation for Vesta-sponsored External Consultants to Nigeria as part of on-going Vesta Engagements/Projects

  • The successful candidate will be an honours graduate (First Class or Second Class, Upper Division) from a ‘top-drawer’ University with an impressive record of proven academic achievement possibly with a recognised professional qualification
  • Previous experience working with a recognised multi-national company or a multinational Professional Services Firm in Nigeria would be an added advantage. Possesses the required sensitivity and understanding required to deal across diverse cultures
  • Strong analytical skills with at least 4 years’ experience as an executive within an international organisation
  • Good understanding of English with confident language fluency that confers strong (public) presentation and communication skills
  • Strong interpersonal and communication skills, ability to deal with people at all levels across different countries. Good numerical skills.
  • Outstanding interpersonal and influencing skills; a good team player. Must have pleasant telephone and good e-mail etiquette
  • Above average computer skills with proficiency with all MS packages: Word, Excel, PowerPoint, Outlook, Project Manager, Visio & Access. 
  • Confident and assertive individual willing to work independently, travel extensively and work long hours in an international environment
  • Flexible and adaptable with a “can-do” attitude 
  • Possess excellent analytical, numerate and IT skills 
  • Pays attention to detail, displays natural tact/discretion and exhibits imagination and drive
  • Demonstrate scientific credibility, sound business judgement, leadership and team-working skills. Candidates should have some experience of corporate governance and commercial development

  • Postgraduate qualifications or an MBA from a first-tier business school
  • Modern Language Skills with fluency in one European or other African Language
  • Previous relevant multinational experience in healthcare or life sciences sector
