Job Description

Position Summary:

Innovations for Poverty Action (IPA) is a United States-based non-profit organization dedicated to discovering and promoting effective solutions to global poverty problems. IPA designs, rigorously evaluates, and refines these solutions and their applications together with decision-makers to ensure that the evidence created is used to improve opportunities for the world’s poor.

IPA Nigeria seeks a qualified Finance and Administrative Assistant to be based in the Abuja office. This staff will report to the Country Director.



  • Assist the Country Director in the running of office operations
  • Arrange transport and accommodation for visitors and traveling staff
  • File documents as directed and required
  • Deal with incoming and outgoing mails, and general emails
  • Manage IPA Nigeria´s inventory system
  • Provide logistical and administrative support to project teams as and when required
  • Coordinate logistics for staff meetings, conferences, and other teambuilding activities 
  • Supervising Office Assistants and cleaners
  • Ensure timely payment of utility bills
  • Provide regular updates to the Country Director
  • Perform other duties that may be assigned


  • Support all procurement related activities relating to processing of requests and collection of invoices, according to IPA´s procurement policy
  • Review documents for completeness and accuracy, follow up on discrepancies with the initiating project team and identify available suppliers for each requisitioned item
  • Update staff on procurement requests 
  • Correspond with vendors regarding quotations, product availability and delivery timelines
  • Coordinate with project teams to monitor performance of vendors
  • Ensure that goods purchased are to specification in terms of quality, quantity and delivery and to advise on suppliers who fail to meet specifications


  • Manage documentation of travel advance requests, tracking and refunds
  • Timely processing of all expense returns and communication with project staff concerning issues relating to reconciliation of expenses
  • Confirmation of vendor payments
  • Ensuring that all financial transactions comply with IPA Nigeria financial policies and procedures
  • Processing of all cost transfer requests for the country office
  • Provide support during internal and external audits
  • Perform other duties as assigned by the Country Director
Job Requirements
Minimum years of experience

Other Requirements
  • A minimum of an HND in Accounting, HND Purchasing & Supply or related field; 
  • Previous administrative and financial experience general management experience (3-5 years’ experience preferred), preferably in the context of international NGOs;
  • Excellent working knowledge of Excel and Word;
  • Ability to maintain confidentiality of procurement and financial information;
  • Ability to comply with standard practices, regulations and statutes;
  • Ability to communicate effectively in English; 
  • Good time management and interpersonal skills;
  • Attention to detail, excellent organizational skills and ability to work independently;
  • Impeccable integrity and sensitivity to working in a culturally diverse organization.
